Event Manager

Plan, coordinate, and deliver in-person events by managing venues, schedules, vendors, budgets, and on-site operations from preparation through live execution.

The Role

As an Events Manager (Offline Events), you will be responsible for planning and executing physical, in-person events from concept to teardown. This role is hands-on and execution-driven, with a strong focus on venues, vendors, schedules, budgets, and on-site problem-solving. You’ll be the person who makes sure everything actually works when the doors open.

Responsibilities

  • Plan and manage the offline events including esports tournaments, live shows, community events, and brand activations.
  • Own event timelines, production schedules, and run-of-show documentation.
  • Manage venues, permits, insurance, and all physical logistics required for live events.
  • Source, negotiate, and manage vendors such as staging, AV, lighting, fabrication, staffing, security, and catering.
  • Create and manage event budgets, including cost estimates, tracking, and post-event reconciliation.
  • Coordinate closely with internal teams (creative, marketing, partnerships) to ensure event execution aligns with goals and brand standards.
  • Act as the primary on-site lead during build-in, rehearsals, live event days, and load-out.
  • Troubleshoot issues in real time and make fast, practical decisions under pressure.
  • Oversee on-site staff, freelancers, and contractors to ensure smooth operations and safety compliance.
  • Conduct post-event reviews and documentation to improve future events.

Qualifications

  • 5+ years of experience producing offline / physical events (agency, entertainment, esports, live events, or brand activations).
  • Strong understanding of venue operations, production workflows, and live event logistics.
  • Proven experience managing budgets, vendors, and production schedules.
  • Highly organized, detail-oriented, and comfortable juggling multiple moving parts.
  • Calm and decisive under pressure, especially during live event execution.
  • Strong communication skills and the ability to work with diverse stakeholders.
  • Fluent Japanese required; English proficiency is a plus.

Nice to Have

  • Experience with gaming or esports events.
  • Familiarity with live broadcast or stage production environments.
  • Experience working with international partners or talent.
  • Willingness to work irregular hours, including weekends and event days.
